Overview: The Program Assistant performs the efficient operation of the assigned duties of the City Sanctuary by performing clerical administrative tasks.
The Program Assistant will complete census reports, track internal work orders and run reports, process invoices, create payment requests, process W9s to request new vendor codes, and perform other assigned administrative tasks.
The Program Assistant ensures that personal and financial information relating to each client is kept confidential and made available only to authorized persons.
Responsibilities: Primary: Perform data entry to measure the program’s performance metrics.
Secondary: Must possess the ability to multi-task and have organizational and communication skills.
Proficient in Microsoft Office (Excel, PowerPoint, Microsoft Teams).
Other functions that may be required with this position include: Thorough knowledge of general office practices and procedures.
Considerable knowledge of office record keeping and reporting practices and procedures.
Knowledge of efficient utilization of office equipment including personal computer systems.
Knowledge of English, grammar, and composition.
Proficient with the MS Office Software programs including Outlook, Word, Excel and Power Point.
Develop and maintain an effective database program for accountability of furnishings, supplies and other equipment.
Ensure that Human Resources Department notices and documents are properly posted at Best Western City Sanctuary.
Organize meetings and take detailed minutes.
Write and distribute email, correspondence memos, letters, faxes and forms.
Ability to type 40 wpm Minimum Requirements A High School Degree or GED, plus a minimum of three (3) years of office experience.
Bachelor’s Degree is a plus.
Must be proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
Dependable & flexible as well as possessing the ability to maintain a high level of confidentiality.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Good communication skills both verbally and written including the ability to communicate with all levels of management.
Ability to prioritize and multi-task.
Ability to work independently.
